Refund and cancellation policy

1. Free trial
Every plan starts with a 3-day free trial. No payment method is charged during the trial. If you cancel before the trial ends, you pay nothing.
2. Cancellation
You can cancel your subscription at any time from /billing inside your apsera.ai workspace, or by emailing [email protected]. Cancellation takes effect at the end of the current billing cycle — your workspace stays active and your data accessible until that date. We do not charge cancellation fees.
3. Refunds — monthly subscriptions
We offer a refund of the most recent monthly fee if you request it within 7 days of the charge AND you have not consumed more than 25% of the included monthly token pool. Outside that window or if usage has exceeded 25%, cancellations stop future charges but the current month is non-refundable.
4. Refunds — annual subscriptions
For annual prepaid plans, we offer a pro-rated refund of unused months if you cancel within 30 days of purchase. After 30 days, annual plans are non-refundable; cancellation will stop the auto-renewal at the end of the current term.
5. Pay-as-you-go and overage charges
Token usage already consumed by AI workers (PAYG charges or overages above your included pool) is final and non-refundable. The work has been done and the underlying LLM cost has been incurred on our side. Set a daily-spend limit in /billing to cap exposure.
6. Add-on charges
One-time add-ons (custom integration builds, professional services) are refundable only if work has not yet started. Once a project kicks off, refunds are pro-rata against work delivered.
7. How to request a refund
Email [email protected] from the address on your apsera.ai account. Include the workspace name, the charge you want refunded, and a brief reason. We respond within 2 business days. Approved refunds are processed back to the original payment method (card / UPI / netbanking) and typically appear within 5–10 business days depending on your bank.
8. Failed or duplicate charges
If you were charged twice for the same period or charged after a successful cancellation, that is always refunded in full — these aren’t covered by the 7-day or 30-day windows above. Email us with the transaction reference and we’ll reverse it.
9. Chargebacks
We’d much rather you email us than file a chargeback — it’s faster for you and avoids fees on both sides. Filing a chargeback before contacting us may result in your workspace being suspended pending resolution; that’s the payment-processor’s standard procedure, not punitive on our end.
10. Currency and taxes
Refunds are issued in the same currency as the original charge. Indian customers: GST charged on the original invoice is included in the refund. International customers: any FX spread between charge and refund is set by your bank and not controlled by us.
11. Changes to this policy
We may update this policy. Material changes (anything narrowing what’s refundable) will be notified to active customers via email at least 14 days before taking effect.
